Canadian School of Tashkent. How we look after your information.
Last updated:
This page explains what personal information the Canadian School of Tashkent ("CST", "we", "our", "us") collects when you visit this website, apply for a place, register for an event, contact us, or interact with the school in other ways — and how we use and protect that information.
1. Who we are
The Canadian School of Tashkent is a private K–12 school operated by the school operator, with its campus at 4 Ferghana Yuli, Mirabad District, Tashkent, Uzbekistan. We are the data controller responsible for the personal information described in this policy.
If you have any questions about how we handle your data, you can reach our data protection contact at info@canadianschool.uz or by writing to the school office at the address above.
2. What we collect
We collect different kinds of information depending on how you interact with us. Below is a complete list. We do not collect anything beyond what we list here.
If you visit this website
- Standard server log data: your IP address, browser type and version, the pages you visit, the time of your visit, and the page you arrived from. This data is automatically logged by our hosting provider for security and operational purposes.
- Anonymous analytics data through a privacy-respecting web analytics service — see the Cookies section below for details.
If you contact us through the website
The information you choose to submit through our forms:
- Contact form and enquiry drawer: name, email address, phone number (optional), the topic of your enquiry, and the content of your message.
- Newsletter subscribe: email address only.
- Open House registration: parent name, phone number, optional email, the session you wish to attend, and basic details about your child or children (first name, last name, date of birth, current school, grade applying to).
- Application form: full personal and professional information including CV, references, qualifications, statement of teaching philosophy, and any documents you choose to attach.
If your child becomes a student
The school maintains comprehensive student records as required by educational practice and the Province of Nova Scotia for students enrolled in the licensed Grades 10–12 program. This includes academic records, attendance, health information shared by the family, photographs, and disciplinary records. These records are managed under separate enrolment agreements signed at the time of admission and are not the subject of this website-focused policy.
If you are a member of staff
Employee data is collected and processed under separate employment contracts and HR policies, which take precedence over this website privacy policy.
3. How we use it
We use the information you provide to:
- Respond to enquiries and process applications.
- Manage Open House attendance and other event registrations.
- Send newsletter editions, when you have explicitly subscribed.
- Improve the website and understand how visitors use it (in aggregate, never individually).
- Comply with our legal and regulatory obligations as a licensed educational institution in Uzbekistan and as a Nova Scotia-licensed provider of the Grades 10–12 program.
- Protect the security of our systems, prevent abuse, and detect fraud.
We do not sell your personal information. We do not use your information to build advertising profiles. We do not share your information with marketing partners.
4. Legal basis for processing
Where the General Data Protection Regulation (GDPR) or the Republic of Uzbekistan's Law on Personal Data (Law No. 547-IV, as amended) applies to our processing of your data, we rely on one or more of the following lawful bases:
- Consent: when you subscribe to the newsletter, register for an Open House, or submit a contact form.
- Contract: when you apply for a place at the school or for a position on staff, processing your application is a necessary step toward a contractual relationship.
- Legal obligation: when we are required to retain or report certain data by educational, employment, or tax law.
- Legitimate interest: for security logs, fraud prevention, and the limited analytics we use to improve the website. We have weighed these interests against your rights and believe they do not override your privacy.
5. Who we share it with
We share your data only with:
- Service providers who help us operate the website and the school. This includes our hosting provider, our email infrastructure provider, and (when applicable) our analytics provider. These providers act on our instructions and are bound by their own data protection obligations.
- Education authorities: as required by Uzbek and Canadian (Nova Scotia) regulations governing licensed schools and the Grades 10–12 program.
- Legal authorities: when compelled by valid legal process — court orders, formal regulatory requests, or law enforcement investigations supported by legal authority.
International transfers. Some of our service providers (for example, our hosting provider and email service) operate servers outside Uzbekistan. Where this involves transferring your personal data internationally, we use providers that maintain appropriate safeguards — such as standard contractual clauses, equivalent contractual protections, or operations in jurisdictions recognized as providing adequate protection. By using this site, you understand that your data may be processed in countries other than your own.
6. Information about children
This website is intended for use by adults — typically parents, prospective applicants for staff positions, and other adults interested in the school. Children should not submit personal information through this website without parental supervision.
If you submit information about your child or children (for example, when registering for an Open House), you confirm that you have legal authority to do so and that the information is accurate.
If you believe a child has submitted information through this website without parental consent, please contact us at info@canadianschool.uz and we will delete it promptly.
7. How long we keep it
We keep personal information only as long as is reasonably necessary for the purpose it was collected, plus any retention period required by law. Indicative periods:
- General enquiries and contact-form submissions: up to 24 months after the most recent contact, unless the enquiry develops into an admissions or employment process.
- Newsletter subscribers: until you unsubscribe. Every newsletter we send includes an unsubscribe link.
- Open House registrations: typically deleted after the academic year in which the event took place.
- Unsuccessful staff applications: up to 12 months after the role is filled, unless you ask us to keep your application longer for future consideration.
- Server logs: typically 30 days, unless retained longer for security investigation.
- Analytics data: retained for the period set by our analytics provider; aggregate statistics may be kept longer.
Different retention rules apply to records relating to enrolled students and current employees, governed by separate agreements and the relevant educational, employment, and accounting laws.
8. How we keep it safe
We take the security of personal information seriously. The website operates over HTTPS (encrypted connections). Form submissions are processed over encrypted channels. Access to administrative systems is restricted to authorized staff and protected by passwords and, where appropriate, multi-factor authentication.
No system is perfectly secure. If we ever become aware of a data breach that affects your personal information, we will inform you and the relevant supervisory authorities in accordance with applicable law.
9. Your rights
Depending on the laws that apply to you, you may have the right to:
- Access the personal data we hold about you.
- Correct any inaccurate or incomplete data.
- Delete your data ("right to be forgotten"), subject to our legal retention obligations.
- Restrict our processing of your data.
- Object to processing based on legitimate interest.
- Withdraw consent for any processing where consent was the basis (such as newsletter subscriptions).
- Lodge a complaint with a supervisory authority. In Uzbekistan, this is the Personal Data Protection Authority. In the EU, this is the relevant national data protection authority for your country.
To exercise any of these rights, write to info@canadianschool.uz. We will respond within 30 days. We may need to verify your identity before processing your request.
10. Cookies and tracking
Cookies are small text files that websites place on your device to remember information between visits. We use cookies and similar technologies for the following limited purposes:
Essential cookies
Some functions of the website may use cookies to remember your preferences during a visit (for example, that you've already dismissed a notification). These cookies are necessary for the site to work and do not require consent.
Analytics
If using Plausible Analytics: Plausible is a privacy-respecting analytics tool that does not use cookies and does not collect any personal data. It records aggregated, anonymous information about visitor traffic. No consent banner is required because no personal data is processed.
If using Google Analytics 4: Google Analytics uses cookies to collect anonymous information about how visitors use this website. This data is processed by Google under their own privacy policy. If you have not consented to analytics, no analytics data is collected. You can manage your consent through the cookie banner that appears on your first visit, or by clearing cookies from this website at any time.
Third-party content
Some pages may embed content from third parties (for example, social media share buttons or fonts loaded from a CDN). These third parties may set their own cookies, governed by their own privacy policies. We do not control how those cookies operate.
11. Changes to this policy
We may update this policy from time to time, for example when we change our practices or when the law requires us to. The "last updated" date at the top of this page tells you when the most recent change was made. If we make a material change, we will inform subscribers and other affected individuals in advance where reasonably possible.
We encourage you to review this page periodically.
